Not every software need calls for a custom platform. Nor does an off-the-shelf subscription always fit a process that is central to the way you compete. The model compares total cost over a shared time horizon.
Build vs. Buy Technology Decision Model
Compare developing a software capability with licensing an existing product over the same decision horizon. This is a technology investment model, not a staffing comparison.
Build a solution
Buy or license software
Advanced cost and scenario options
Model changing subscription prices, internal admin time and the time horizon.
Decisions beyond the price
- What does your process do that a commercial product cannot?
- Who maintains the code, integration, security, accessibility and documentation?
- Is vendor data portability and contract exit acceptable?
- Are there regulatory, security or uptime requirements?

This is a cost comparison, not a recommendation. Qualitative differences, uncertainty, implementation risk and expected business outcomes need separate review. No assumptions imply guaranteed savings.
Cost of ownership is only one lens
Review the availability of required features, integration effort, data ownership and portability, cybersecurity, implementation time, user adoption, support coverage, and the ongoing need for changes.
Build when differentiation matters
Consider custom development when existing tools cannot deliver a process that creates meaningful business value and you can sustain maintenance.
Buy when standardization works
A mature product can be preferable if its core workflows fit, data is portable, support is reliable and total operating costs are acceptable.
Configure before replacing
Check whether technology you already license can be configured, connected or extended before committing to another platform.
Check the exit path
Verify contracts, API limits, export formats, vendor lock-in, security expectations and the costs of switching later.
Compare one realistic use case
Document requirements, create a minimum viable capability, model three-year and five-year costs, and test the assumptions with those who will support the solution. A lower software cost does not automatically mean faster adoption or better service.
