A CONTEMEDIA FIELD NOTE

The unanswered call is not automatically revenue lost

Sample missed calls and categorize whether they represented a new customer, existing service request or other reason. Track whether a follow-up connected and what happened next.

Put it to work: Lead Follow-Up Calculator. If your findings conflict or the next decision carries real cost, work through the evidence with Contemedia.

CONTEMEDIA / PRACTICAL FIELD GUIDE

For many local businesses, the first customer experience is simply whether someone answers when the customer needs help.

THE PRACTICAL ANSWER

Before buying an AI receptionist, measure the actual number, timing and quality of missed opportunities.

EXTERNAL DATA / Invoca Home Services Call Benchmarks, 202652%

of inbound calls in Invoca’s 2026 home-services benchmark reached a person.

Build a real baseline

Review call logs by hour, weekday, campaign and location. Separate abandoned calls, misdials, spam, legitimate inquiries, callbacks and repeat callers. Missing a call is not automatically losing a customer.

Map the response experience

Call your own business after hours, during lunch and when staff are busy. Check voicemail clarity, SMS replies, online booking, emergency escalation and whether a customer gets a useful next step.

Decide what a receptionist may promise

An AI voice assistant can collect information and route calls, but should not invent appointments, quote prices without authorization or make commitments that staff cannot honor. Clearly identify when the caller is interacting with an AI system where required.

Pilot with a human fallback

Start with limited hours or a narrow call type. Review recordings and transcripts where permitted, confirm consent and recording requirements, and count inquiries successfully completed and handed off.

Compare the approaches

Approach or step What to consider
No answer Call goes to voicemail or drops
Basic reception Caller gets accurate information and an owned next step
AI with fallback Approved answers, structured intake and escalation
Human specialist Complex, urgent or sensitive requests
TAKE THIS INTO YOUR BUSINESS

Five useful next steps

  1. Export or review thirty days of call logs.
  2. Label legitimate opportunities separately from spam.
  3. Identify the top three unanswered time windows.
  4. Write approved escalation and scheduling rules.
  5. Run a small pilot and review customer complaints and completed bookings.

Frequently asked questions

Does a 52% answer rate predict my losses?

No. It describes the study’s calls, not your operation. Measure your own call mix first.

Does answering a call mean booking it?

No. Answer rate and booked-job conversion are separate measures.
